OfficeTools is een praktijkbeheeroplossing voor boekhoud- en belastingkantoren die gebruikers tools biedt voor het beheren van klanten, projecten, taken, documenten, uren, facturering en meer.
OfficeTools WorkSpace fungeert als een gecentraliseerde opslagplaats voor klantgegevens en synchroniseert bidirectioneel met belasting- en boekhoudsoftware om ervoor te zorgen dat gegevenswijzigingen op alle systemen worden bijgewerkt. Projecten, afspraken en toewijzingen kunnen worden bijgehouden in persoonlijke en teamagenda's en taken kunnen worden gedelegeerd aan teamleden met een lagere werklast. De activiteitenlijst geeft gebruikers een overzicht van alle openstaande items die moeten worden voltooid en stelt gebruikers in staat door te klikken naar de relevante contactpersoon en sectie voor elke taak. Gebruikers kunnen met behulp van de ingebouwde timers de gewerkte tijd voor elk project of client vastleggen en deze gegevens synchroniseren met de facturering en salarisadministratie.
Met de OfficeTools WorkSpace Portal kunnen klanten afspraken aanvragen, documenten ondertekenen en online betalingen verrichten. Bevestigingen en herinneringen via e-mail en sms zorgen ervoor dat klanten op de hoogte zijn van de tijd en datum van aanstaande afspraken, en wanneer ze op kantoor aankomen, kan het intake-/inchecksysteem voor klanten worden gebruikt om updates vast te leggen voor persoonlijke gegevens en contactgegevens van klanten. Geïntegreerde functionaliteit voor e-handtekeningen stelt klanten in staat documenten elektronisch te ondertekenen en ondersteunt ondertekening door meerdere partijen en opeenvolgende ondertekeningen. Alle ondertekende documenten worden automatisch opgeslagen en gebruikers kunnen via de portal rechtstreeks met klanten communiceren over eventuele problemen, vragen of ontbrekende documenten of gegevens.

The amount of information this product can provide has been a powerful tool for our firm. It has significantly reduced the amount of time it takes to setup new clients because we have been able to reduce the amount of software our company uses. It also is a time saving tool with the automatic email and text appointment reminders.
Pluspunten
We love that is a one stop shop for all of our practice management needs. We have been able to reduce the number of programs our company uses because of this. The software is also incredibly easy to navigate. The team at OfficeTools is great if we ever have an issue that we can not resolve ourselves or with the online support.
Minpunten
The only con we have found with this software is with some of the reports we want to see, it doesn't appear the program can produce. Luckily, there are workarounds for this.

Great software, could use some improvements

I like having everything tied together, having all a single client's info in one place, being able to link related clients, have all notes in one place, etc.
Minpunten
There are some bugs, it's also a very hefty program so it sometimes runs slow on our aging server. Also it's pretty complex to learn and some features are counterintuitive.

Misleading Sales Information and Poor Support

OfficeTools Workspace is almost a hit if they could get the back end programing right. The slowness of the product, features breaking all the time, and the poor response time of support make this a hard pass. Sales also sold us on several features that was confirmed by tier 1 support only to find out after signing the contract that those features are not possible. After working with support for over 1 year to fix issues, we asked to be let out of contract only to be told we need to submit a formal complaint and they get 30 days to fix the issue. Unless you like wasting time with support, look elsewhere.

Love that this product marries time tracking, project management, document management, and billing in one software.
Minpunten
Desktop program is built on an old 32 bit sql server which makes the program really slow if you have more than 2 people using it at the same time. The integrated APX payment feature is a plus if it would work. They decided to do maintenance on the product during the last two weeks of tax season, we couldn't run payments for a day. Payment system is also hiding payments, so we cannot tell which clients have paid. Support has been working on this for two months with no end in sight.

We appreciate the ability to have one software that provides so much utility -- Contact info, Notes, Documents, Projects, Calls, etc
Minpunten
There is a learning curve on how to use the software fully. And the reports are a bit difficult to decipher.

Pluspunten
The product has a lot of features that made the implementation in the first year wonderful. The support staff was great and easy to access. Ease of use, reporting, billing features
Minpunten
40% + cost increase for the new year. The Lacerte software integration did not work very well. There are issues that could not be resolved with the multi-firm features of the product
