Good value for the price

Pluspunten

I set this software up for a massage therapist shop. It was for an individual who needed to contract out 2 services, yoga and massage therapy. In order to do that, we had to buy 2 subscriptions what was sort of a pain. However, the ease of use of software was great. There's integration into yelp and facebook. It integrates right into your google calendar which is super important for people that are really busy. Also its way cheaper than mind body so that's a bonus.

They provide everything you need in order to setup a successful massage shop or whatever in fitness you are doing. They even take credit card for services. If you swipe it on your phone in the mobile app, it will ask you for a tip. On ipad, it doesn't.

Also vagaro allows you to rebook an appointment on the spot which I found very convenient for rebookings.

Minpunten

It was really hard to setup multiple services within the shop. I had to setup yoga and massage under 2 different employees but the same name, with 2 different google calendars. It was really messy. It works best when you have employees and can set them up under services they provide, if your solo and provide more than 1 service that aren't related, its hard.

My advice, run FAR AWAY from this service. Its overpriced for what is actually does, you will spend so much time trying to get things to work. I have since met many owners who have had same experience. I wish I NEVER switched. Its been the WORST decision I ever made in all my years with my business.

Pluspunten

I like the potential it could have. Being able to have schedules for different types of things and online classes.

Minpunten

We got a card reader that NEVER worked properly. After 2 months, 8 hrs of logged calls, and almost 40 emails, I got a manager. We finally got a new reader, and yes I had to pay to return the one that never worked. It cost me so much business. The customer service is bad. The people are not trained they have to go look up then email you if they can find it. I was told multiple times it didn't matter I had a contract since I BOUGHT the reader. Once I got hold of a manager it still took several weeks. The money they owed me I didn't get back, they gave me some but in "Vagaro bucks" then charged my card again even when I had enough "bucks" to cover. There are so many issues with this service but switching again would be a nightmare, but I'm close to just doing it anyway. Also they do deposits supposedly daily but some days you get 3 different deposits and it just makes it more complicated than necessary. The company definitely has a lot of work to do in getting their act together.

so fat during the free trial, we love it. it's user friendly (except the clock in/out feature" and the customer service has been excellent in helping me import my data from Fresha.

difficult time card management for employees.they should improve their clock in capability for employees. It should be as easy as clicking "clock In/ out". however, you have to buy cards and the card scanner they sell.

We've been using Vagaro since opening in Feb 2015 and we've seen many changes and updates and 99% of them have been fabulous. The development team is pretty receptive to new ideas and I see requests that we've made become a "new feature" many times so I know they are listening to the needs of their customer.
Customer Service Chat knows me well... even though I wonder if they do a quick game of "Rock...Paper....Scissors" when they see me pop up on chat they're always happy to answer a question and walk us through something. :)
The software itself is very user friendly and most of our clients say that the online booking features are fast and easy!
I have no doubt that Vagaro will get better as they grow more customers. I'm sure for the independent service provider the core needs are 100% met. As larger salons join Vagaro the features that bigger salon/spas need and want will be added.

-Cancelation/ Waiting List needs to be better- it's currently not useable for the large number of requests we have for a cancelation list.
-We've had some retail snafu's but those are getting better as well.
-Marketing promos could use a "retail" option.
-Checkout could have some updated options like a "hold in cart" so if you have to interrupt a sale you don't lose everything you put in checkout screen.

Vagaro is easy to use if and when you're looking to book a spa or salon appointment. It's easy to add all of your information and save it for future use.

It's been grea; however, getting on with customer service has been a problem, which is understandable. With Mindbody the tech was able to pop on my computer screen to help, which convenient and sometimes easier than trying to explain a situation to the tech they can see what or who you are looking at.

Pluspunten

It's user friendly, for both the studio and client. Being small business owner, the cost of services is saving me so much. Wish I would have made the switch long ago. I like that we have different options for packages an d services.

Minpunten

Wish there was an easier way to checkout a clients for multiple days. Often times when I back to reconcile accounts, it would be nice to do one client and reconcile with a drop box check-out in one place for multiple days.

Pluspunten

Vagaro keeps all of my client information, services, products, reports and finances very well organized. I've used this software for over 5 years now and my favorite thing is, it's forever changing (for the better of course). I honestly have no complaints with the way it runs, however, if I'd like to see a change all I have to do is make a request and they take it under consideration. Obviously not every suggestion can be accommodated; but for the most part it just keeps getting better and better for a very reasonable price.

Minpunten

I wish when a customer decides they want to opt-out from receiving email marketing from one salon it wouldn't affect another. When a different business uses vagaro but the client has been to someone else and chose not receive email marketing they don't receive mine.

Convenience at first. Where I was renting it was already being used. Now I own my own spa and don't share with anyone but continue to use it because I'm extremely satisfied with customer service and fuctionality.

Honestly the only thing is waiting for deposits. 24 turn around would be great vs waiting for specific business days. This hasn't been an issue at all just a preference

Vagaro still doesn't have a lot of little features/extensions that would make doing business even easier, but they keep adding new things, which is helpful.

My overall experience so far, with Vagaro is really good. I would recommend them to other massage business and massage therapists. I have had no issues or concerns, with any issues I've had, support has always been extremely professional and helpful in every way.

Pluspunten

I love the confirmation and waitlist features the most, because it prevents me from having to physically keep track of client's and my schedule openings. I like having everything integrated in the software; i.e., scheduling, payments, confirming, color coding, the waitlist, etc. Also their Customer Service Support is outstanding!!

Minpunten

I really wish the software would have an Add-on feature. I don't like having to integrate the Add-ons into my actual services, because it put the Add-on as a separate scheduled appointment. The other feature I don't really like is having to pay for Marketing and Texting features, of which there are different tier levels. Wight Massagebook it was all included. These are my biggest dislikes of the software.

STAY AWAY FROM Vagaro & PAYDESK!

We’ve purchased the PAYDESK thinking it’s as legit as they made it sound on their website, We ended up with an everyday of non-ending frozen system, unable to accept clients appointment, unable to check out clients, we have to restart the system almost every time we need to check out client, or try to book a client. Unable to see client signature of the guest side, unable to have them complete forms on the guest side of the Pay Desk. We’ve been in contact with Support since the first couple days we have received the PayDesk. They have been procrastinating the process of solving the issues, scheduled multiple remote sessions to try to resolve the issues, which was a total fail! They requested videos of all the issues they couldn’t solve during the remote session they set up , and we provided, YET its been over 6 weeks of going back and forth of non-ending emails! They’ve solved absolutely NOTHING!! Everyone on the software team blames the hardware team, and here we are with a piece of crap device. They Won’t refund a device that was purchased in JULY 2022, and they have evidence of all the support tickets they’ve been receiving for the past 5 months which is since we have received. I have called and talked to many people who stated each time that would be the last time before they escalate it to the development team, and they’ll take an action! NOTHING was done.

Absolutely NOTHING! They take forever to answer a phone call if you contact support! Which will be very often once you start using their system! They’ve always had issues solving the issues you calling in regards! The worst nightmare I made a decision to use Vagaro in my business

TERRIBLE customer service, Unreliable devices, unreliable software, reckless team who does not care how frustrated you or you clients are with their system! Undelivered Services, and they've always had issues when trying to solve " the issues" you contact them in regard . They only charge money for everything you sign up for, but support for their terrible device can take up to 6 months with out any solving to the issues.

I switched over to Vagaro from MindBody Software and I am super glad I did. I have just about everything I need in one place that allows me to run my business seamlessly.

Pluspunten

I like that this software is a one stop shop for me. I can schedule appointments, offer online booking and gift certificates and use it as my point of sale system. I am able to email and text my customers reminders, note and even send out emails with promotions and newsletters.

Minpunten

It would be really great to be able to customize the reminder and confirmation reminder emails. As well as be able to have a text number attached to my account that a client can text back. Many clients text back the confirmation email and they are confused when we don't get their message.

With Vagaro the purpose was always selling time. FIlling up the white space on the calendar with clients and making sure you did that as efficiently and productively each day as possible in order to create growth and profit for the company. Vagaro is a tool in which you are able to do that. But for bigger salons that need more details, reports, numbers, it does fall bit a short.

Pluspunten

I liked that this system was super simple and straight forward. It is very easy to switch over to Vagaro from another company which is what we did. The ease of use is definitely a plus but it also was a reason why we left. It was not very detailed on other aspects that we needed more options and attention on.

Minpunten

I love a software company that has a well developed app for it's salon users. This is important for the team because they use this every hour to see and check their schedules. I think also the reports should have been more detailed and intricate but they may have improved that at this time. I don't think anything was difficult to use but because of it's ease of use, it meant that the software didn't really allow for as much information and details as we needed at the time to run a salon aiming towards growth. Things were hard to find or figure out because it wasn't provided in the reports or we had to add other features from outside companies to make up for lacking features.

What I appreciate most is the great customer service. I also appreciate that the "request for a feature" is actively monitored and new features are constantly rolled out. I appreciate that we are able to speak to the same support reps consistantly vs calling a call center where you can get different reps on each call and often need to explain your issue from the beginning. And they are super friendly.

If a client has a Vagaro profile but is new to my salon I have no choice but to accept their existing profile because you can not use the same email for a new profile. That should be an option as some clients may need a new profile for these services vs other service they obtain elsewhere

Very positive. The company upgrades their product when needed adding user friendly comprehensive features that enhance the users experience.

Pluspunten

It's very easy to use Vagaro for online and mobile booking for both the owner and client. COLOR CODING: I like the use of color bands to show confirmed, show, no show etc. it helps me keep track at a glance. CHECK OUT: The check out is also very easy with all options for payment available. If you like keeping track of customers paying with MasterCard, Visa etc this option is available. This was not my experience with other programs, although it's not something I used it would be helpful for tracking clients paying with Medical Flex Plans. NOTES: I like this section it's comprehensive to different professions. The medical note section is helpful for massage therapists and other medically oriented professions. I especially like the POP UP notes. Very helpful when you have special needs clients. Also helpful for an aging (post menopausal) memory (LOL, some may not understand this importance). PERSONAL TASK: This is a great option that allows you to block off chunks of time. It also allows you to choose reasons for the block, sick, personal time etc. Especially nice when tracking you personal down time. All in all it's a well thought out program. Whenever I've needed help the CHAT feature and the customer service representatives have been very helpful in solving my issues. Generally you don't have to wait long for help. That's especially helpful as every self-employed persons time is valuable.

If you need to shut off the online feature (which I've needed to do during Covid) you can't last I checked. Plus, I'm in the process of downsizing toward retirement. I'm no longer looking to take new clients but I want to continue using the program to book my existing clients. I just wanted to prevent clients from being able to book on line so I can control my schedule. The only way to do this was to block out all my time slots with the Personal Task feature. Clients eventually end up calling me, which is what I want. I sent notifications, but you know how that goes. The other option I think would be helpful that isn't available is the option to choose different colors for the PERSONAL TASK blocks. I'm a visual, color oriented person, right now the only option for Personal Task is brown. I like to be able to assign or have assigned colors associated with the different block options, like green for "sick time", blue for "meeting" etc. Lastly I believe this program leads the on line booker to believe it's more of a salon oriented environment. I know for a fact some more medically oriented massage therapists have shied away from using it for that reason, because I've recommended it and received this feedback. I think the developers maybe doing themselves a disservice in this regard. The program is very comprehensive for medically oriented massage therapists, chiropractors, craniosacral therapists, reiki masters and like professions.

Using Vagaro I've found that it puts me at ease and I no longer stress about confirmations, keeping up with clients schedule for services, I am able to get deposits, clients can book themselves according to the availability that have, I can offer specials/discounts and know that they are not only sent to clients but announced on the site. Using Vagaro has definitely help making marketing much easier.

Pluspunten

The Vagaro Software is very easy to use and has a video tutorial option for anything you aren't sure about as well as customer service persons on hand. After reviewing and researching multiple programs I decided to give Vagaro a try because they have excellent reviews, extensive options for all areas of business that allows for growth, reports to follow sales patterns, customization for services and sales, free software for credit card charges when you sign up for services and so much more. Best of all, it won't break the bank and they continuously offer suggestions on how to increase sales and bring in more clients.

There aren't really any cons that I haven't been able to get help with via tutorial videos. If anything, there are so many options that I haven't learned everything the system can do after nearly 6 months. I feel like the system lags sometimes, but I cannot say for sure if it's the system or my connections.

The salon benefits tremendously from using this software. First being, salon operations. The overall smooth running of the salon. With the booking block scheduling, color coordinated services, customized services, and application/processing time being adjustable, it just makes the salon run so much smoother. The service providers never struggle with their time management thanks to vagaro. Each service booked in their book is booked appropriately by time, which makes a smooth transition from one client to the next. Also, when checking customers out, it is super easy. Being a booth rental salon, who still functions as a team and uses one system, one receptionist, one merchant, one credit card machine, it makes it easy. It breaks down each providers day, total services, total money taken, etc. So, when it's time to closeout, there are no mishaps, you know exactly what happened with each client, by name, by service, by provider. You can truly check anything you need to. Also, when clients move their appointments around, as clients always do, vagaro has it set up very smoothly. It's very easy to move a clients appointment from one day to the other. Also, having the business website attached to the actual software is a major bonus! A lot of new clients find us using vagaro. The new customers can see customer reviews, they can see our service menu and prices, our hours, everything they need to know, and they can book online right then and there! Our clients truly love booking online, without that feature, a lot of our clients would have a hard time booking appointments because their schedule changes from day to day. With this option, the night before they know they are going to be free for a service, they can open up their phone and book for the appointment they need with the service provider of their choice! Vagaro, with the few faults it may have, is hands down the BEST salon software you can get today! It's a one size fits all type of system that has worked while we were an hourly salon, then to a commission salon, and now a booth rental salon. Vagaro is so great that we REQUIRE all of our service providers to use this system! The providers that have been with us since the beginning wanted to stay with vagaro. The new providers were amazed by the system and were happy they made the switch! Anyone who has ever used this system would be a customer, no matter the size or type of salon you have! It's the best! Almost 4 years with vagaro, and many more to come!

The online booking feature is a MUST with our clients, they absolutely love it. Also, the fact that you can have your website attached, a beautiful website at that. The ease of entering in all of our services into the service menu, our prices, and individual time intervals per service and per provider. But, the BEST thing about vagaro, is the ease of paper work. We do our daily tally and weekly tally sheets, and vagaro makes that absolutely a breeze. I am part owner, salon manager, and reception and I do all of the employees paperwork and money handling, and vagaro is absolutely amazing and makes the process so much easier than other software I've used over the years. The transaction list, to be able to go through all checkouts for the day, to be able to refund, charges, cash, and checks all separated into categories. It's just amazing. The checkout through vagaro is nice as well, you can put in the tip amount, check, cash, or charge, without using their merchant services, which is a benefit because you have an actual layout of each customer, each transaction, whereas on the credit card machine, which is completely separate, you can only see customer, and how much paid, including tip. Since, we opened this salon, we have only had vagaro, and we will continue to only have vagaro. It's the best salon and spa software that is available. No matter the size of salon, or services offered. This system works for everyone. Also, the text message updates they send out when theyre down.

There are really only a few things that I like the least about Vagaro. One would be, the system issues, especially with the credit card processing. When we first opened we were using vagaro as our merchant as well for our credit cards, and we had nothing but issues. Even now, I get the texts whenever there is a software malfunction, and it seems most of the malfunction is with credit card processing. So, we ended up having to buy an actual credit card machine and go with a different merchant provider, and now all of that is resolved. The next thing I like the least is, you can't separate your business at all. We have both tanning and a hair/nail salon. So, our tanning hours are slightly different from our hair/nail hours, and there is no way on vagaro, or our website, to separate and add additional hours. The last thing I like the least, is that Vagaro really only allows you to add services, there's no where for us to list our prices for tanning on our website, unless we take a picture of the menu and post it in our pictures, which would be out of place.

Vagaro Support is the worst I've ever worked with. We have been working on getting our small business on Vagaro's platform since April. It is now Aug, & we are still not up and running. Everything we are doing is Out-of-the-Box. No customization. However, support has not been able to complete our import, so we've been paying a monthly fee since April for a service we cannot use. They are horrible at responding to requests for status updates. I'll email support multiple times and they don't respond for weeks, if at all. The only time I can make any headway on our import is if I work on it myself, or when I start calling them daily (sometimes 2x/day). Then we make a little progress only to begin the cycle again a few days later with me being ghosted. If you're looking to use Vagaro for your business, don't. We are at the point where we are willing to take the sunk cost on the money & significant amount of time we have put into this and start over with one of Vagaro's competitors, such as MindBody.

The import process exists to quickly onboard customers coming from other software, in this case the files you sent were custom, so it did not work with any of our (out of the box) automated processes. We provided a Sample File to show the required format, but we never received the data in the correct format. Despite this, our team began making adjustments on your behalf, in an effort to get the data in the proper format. While typical responses occurred next business day, a change of management occurred on your end which did cause some additional delays. Delays could have been avoided entirely had we been provided data in the supplied format; management changes had not occurred, and updates to your terminology were not regularly changed between responses from your business.

[SENSITIVE CONTENT] I had received my package containing a pay desk system a scanner and a EMV reader from Vagaro.
this whole system which cost me $1270.72 Canadian dollars after tax.
I had called the Vagaro sales team to ask specific questions about the system before purchasing. I purchased the system [SENSITIVE CONTENT]so I either called that day or the day before.
I called to make sure that this system was not just a booking tool to run Vagaro and asked if I can run my whole business from it like a tablet could. I used a specific example asking if I could run Spotify from it. The salesman assured me that I could in fact do all of this and never once indicated that the system only supports certain apps.
I stated that I was falsely sold an item that does not operate in the way I was informed it would and would like to return this item and receive a refund. I was told I could not return this item and that Vagaro does not take any returns, I asked to speak with a manager and was told I could not. I have called back 2x since and both times left with no response to why I can’t be refunded other then I signed and acknowledged the refund policy. I had said I was aware of the refund policy but again I signed it with the intention that I was being sold something completely different therefore having no need to return it.

I really love this booking system . I find it easy to use and reliable. I also love the chat feature. If I don't understand something or need help with something or just plain forgot how to do something Vagaro tech support is there to help. I first got it because I needed a website ASAP to look professional. I also needed a reliable booking system for myself and my clients. it has increased client retention and clients that did not like to book in advance no do so because they don't have to remember to call and then play phone tag until we get to talk. I am a sole proprietor. Even good people forget appointments , with the 3 reminders that clients get its hard to forget to come in. If they still do forget or no show you can check with Vagaro to see if the text actually went through. I had a client that said she never got the message. She seemed honest but I did not see how that could be possible. I checked with Vagaro and there was an issue with her phone service. I don't do this with everyone, but in this case she really did not get the message. I do love that wen a client confirms the appointment the color in the appointment book changes to orange . If not I call them up. I love how it keeps track of what I do and what the clients get. I also love that I can set rules for online booking. I have mine set to 48 hour advance booking notice and then I have to approve it. But its possible to have same day booking open as well or not at all. I can keep track of how I I take payment cash or credit or check. The gift certificates are wondeful too. You can have a little creativity with them. Now and then someone will call when I am closed for a gift. I can send them a gift certificate through email. You can also do email blasts. I think a text blast would be great too, although they don't offer this at the moment. .

The ease of use, and the fact that clients get repeat reminders. It has increased client retention. It also shows new clients that I am serious about the business. The website was so easy to set up.

It does not work with Square. I was using Square before I started with Vagaro. I love Square too. I think the ability to text blast would be great. I know it takes me days to read my own email. A text is read that day. I do wish I had more space on the website. I do offer more services than the average cosmetologist. I also wish there was an easier way to get products that I sell into Vagaro. I think this should be something that Booking systems and beauty companies work on together. it would be great if you could just dropa Dermalogica App into Vagaro. When prices change all products are updated. and so on . Any product line that a salon or spa could use should have something to just ad in easy peasy.

Customer service can be spotty. Their support site is reasonable for the basic cases but is severely lacking in the actual nitty gritty of running the operations-- for example issuing refunds and voiding transacions is non-intuitive. Support team ignored my request for a demo. Support team dropped entirely off of my live chat and after ignoring half of my questions, and when they were responsive didn't actually address my full question. Their 30 day trial is a bait and switch since you can't actually test or try the billing flow from the customer's prospective without paying for the first month. I wouldn't go as far as to say that they are scammy but it certainly does not leave a good impression.

Their software is feels designed for salons with a minimal attempt to hamstring it into a fitness scenarios. It can work ok for a sole proprietor in this sense but for anyone who is running a gym with more than one instructor you're stuck between a reasonably good looking piece of software lacking in many features for a reasonable(ish) price and other dated alternatives which checks for more boxes but comes with it's own baggage.

It pains me to says that I'm with this company despite all of their shortcomings. Interactions with support can be pleasant punctuated by frustration. Fairly basic things which are missing is, again frustrating. Choosing Vagaro over the competition is like choosing Comcast because the only other option is get dial up.

Pluspunten

Vagaro is bette price than competitors and has a pretty up to date UI. It makes online reservation reasonably which is a must when trying to attract millennials. It tries to bring everything in house which could create opportunities for tighter integration. There is some hope that the software will improve as there is a lot of low hanging fruit and their CEO/Head of product has a clear strategy on how to take on the market. Support can be pleasant and responsive if you encounter the right staff. They have a lot of advanced features (though they are missing a lot of polish an finesse-- see below)

Some of the ui is non intuitive but with creative searching of the support site you can find the answer. It's better if you can get someone to handhold you through the process--- and that's a big if. Software is missing some pretty basic features:
1/ Unable to link directly to a service provider, class, workshop, package, etc. It makes it very difficult to promote these things via ads or social media
2/ E-mails lack calendar reminder attachment for people to add to their calendar
3/ Lack of a list for classes/workshops. Older populations have difficulty finding or seeing the search bar for the classes.
4/ Lacking HIPAA support despite having SOAP note support
5/ Inability to customize new client email, appointment reminders etc.
6/ Inability to run new client discounts.
7/ Inability to actually see how the customers will actually interact with the platform as documentation / demo is woefully inadequate.
8/ Workshops feature is pretty haphazardly put together. It's just a class that runs over a series of dates. No options for early bird pricing. No options for custom dates. You're better off handling workshops through eventbrite or eventbee.
9/ Inability to provide detailed feed back such as this. I'm a customer who's paying _despite_ their shortcomings. I may have even conducted more user testing on Vagaro than the employees. They seem content in having their dirty laundry aired in a public medium.
